New Inclusive Language Integration Policy
By Office of Communications & Marketing | Jul 21, 2026
Dear Colleagues,
SUNY Downstate Health Sciences University (DHSU), is committed to fostering a respectful, inclusive, and accessible environment for all members of our community. In support of that commitment, DHSU has adopted the Inclusive Language Integration Policy (CW-HR-004), which has been approved and is now in effect. The policy supports the University's Executive Order 31 Strategic Plan by promoting respectful, person-centered, and accessible language when referring to individuals with disabilities.
The policy establishes expectations for the use of inclusive language in official communications, policies, procedures, training materials, websites, and other public-facing materials across the University.
Highlights of the policy include:
- Using person-first language unless an individual has expressed a preference for identity-first language.
- Avoiding outdated or stigmatizing terminology when referring to individuals with disabilities.
- Ensuring communications are respectful, inclusive, and accessible.
- Reviewing departmental documents and materials to ensure they reflect inclusive language principles.
- Incorporating inclusive communication practices into employee training and onboarding.
Departments are encouraged to review the policy and utilize the accompanying Inclusive Language Guide and Checklist (attached to the policy) when updating documents and other materials.
Questions regarding the Inclusive Language Integration Policy or guidance on the use of inclusive language should be directed to the Office of Diversity & Inclusion (ODI) at AskODI@downstate.edu. The Office of Diversity & Inclusion is available to assist departments with implementation of the policy and use of the Inclusive Language Guide and Checklist.
Thank you for your continued commitment to fostering an inclusive and welcoming environment for our students, patients, employees, and visitors.
