(TCard)

The SUNY Downstate Travel Card (TCard) is a corporate-pay Visa card issued by J.P. Morgan Bank. It is specifically designed to cover all travel-related expenses for university employees while on official business, reducing the need for out-of-pocket spending and personal reimbursements.

Getting Started

Follow these four steps to get a card.

Eligibility Check

To be a cardholder, you must have:

  • A Downstate.edu email address
  • Internet/computer access
  • A valid record in the SUNY Portal, including a valid N#

Travel Approval

Applications for Hospital-Funded Travel require departmental and mandatory Hospital CFO endorsement.

Hospital Finance Approval

Applications for Hospital-Funded cards require departmental and mandatory Hospital CFO endorsement.

Card Issuance

Once verified, pick up your card and sign the User Agreement to activate.

Card Usage Guidelines

Allowed Expenses

  • Airfare & Rail tickets
  • Conference registration fees
  • Hotel lodging & taxes
  • Rental cars & business fuel
  • Tolls and parking

Strictly Prohibited

  • Personal meals or items
  • Travel insurance (covered by NYS)
  • Alcoholic beverages
  • Cash advances or ATM use
  • Gas for personal vehicles

Note regarding Meal Reimbursements:

Travelers with meal receipts are reimbursed up to the maximum amount of the meal per diem allowance (Method 2) specified for the particular area related to the travel destination. The meal per diem allowance is apportioned for breakfast and dinner. Please refer to the Guide to Financial Operations Chapter XIII, Section 4.D for current meal breakdowns. Day trip meal reimbursements are reportable as income to the IRS.
