Services

The Access Services Department manages, maintains, and ensures the availability of the library print collection. Responsibilities include the lending of materials, renewing of materials, lending of study rooms, safe distribution, patron registration, course reserve management, Interlibrary Loan (ILL)/Document Delivery, management of user accounts (billing, and collection of fines and fees), re-shelving monographs and journals, shelf maintenance and visitor access.

There are two reserve collections housed in the Access Services Department. The General Reserve collection is a collection of core textbooks that are in high demand; the Special Reserve collection is a collection of textbooks placed on reserve by instructors for specific courses and for a specified period of time. Reserve materials may not be taken out of the library.

In an effort to have as many books and journals as possible available in the library, a fine structure has been instituted. Impending fines encourage the return of borrowed library materials in a timely manner. Fees are payable by personal check, purchase requisitions, credit cards or by cash submitted to the Bursar's Office, Monday – Friday, 10:00AM – 4:00PM.

Fine Structure

Books: $0.50 every day late
Journals: $2.00 every hour late
Study Rooms: $5.00 every hour late

ILL is a service offered to Downstate students, faculty and staff that provides electronic scans of articles and book chapters, monographs, and audiovisual materials that are not owned by The Medical Research Library of Brooklyn. Document Delivery is a service offered to Downstate students, faculty and staff that provide PDF versions of articles and electronic book chapters for items that are available in our collection. Patrons must first set up an account.

Patrons should search the Library catalog prior to requesting an item through ILL to determine whether the book or journal needed is NOT available in our collection.

Processing of ILL Requests:

  • Complete bibliographic information is needed on the request form.
  • Requests are processed within 24 hours of receipt of request or by the next business day.
  • On average, it takes 3–7 days for a request to be filled locally.
  • For material that must be obtained from outside the New York metropolitan area, or for difficult to obtain materials, requests may take longer.
  • Before placing a request, users must create an online account.

Notification, Material Pick-up, Charges:

  • An email will be sent to borrowers when requested materials arrive.
  • ILL materials must be picked up by the borrower who placed the request or their designee.
  • Presentation of your valid SUNY- ID card is required when claiming ILL materials.
  • If charges apply for items (such as lost materials), fees are payable by personal check, purchase requisitions, credit cards or by cash submitted to the Bursar's Office, Monday – Friday, 10:00AM – 4:00PM.

Users may photocopy, print in black and white or color, scan to USBs or email documents from the service stations in the Library Information Commons; however a Debitek card is required. These cards may be purchased for $1.00 from the vending machines that will also allow users to add value. Black and white printing/photocopying is currently $0.15 per page, and color printing costs $0.75 per page. An additional black and white printer is available in the Advanced Learning Resource Center on the lower level of the Library. There is also a black and white printer available on the 2nd level of the library.

Photocopy Services is a fee-based service where materials that are in our print collection are photocopied and sent via PDF to library users. Completed request forms with bibliographic information can be submitted to the Access Services desk for processing. The fee for photocopy services is currently $5.00 per article (up to 20 pages and $0.20 per page thereafter) with a turn around time of 24 hours. This fee must be paid prior to photocopy requests being filled. Invoices for this service are payable at the Bursar’s Office.

Librarians are available (Monday – Friday, 9:00AM – 5:00PM). Reference requests may also be emailed. Individual and group consultations may be arranged by appointment.

The Reference print collection is shelved on the 2nd floor of the library and includes dictionaries, directories and encyclopedias. Reference resources are also available electronically.
